Most candidates prepare only three members of the Microsoft Office family, namely Word, Excel and PowerPoint, and then lose easy marks when a paper asks about Access, Outlook, Publisher, OneNote, Visio or Project. These programs are set in the computer awareness section of SSC, Railway and banking papers precisely because they are the part of the suite that is skipped. The questions are never deep: they ask what a program is for, which file extension it writes, or what one of its objects or fields is called. The notes below cover exactly that ground.

MS Access: the database of the Office suite

MS Access is a relational database management system, so it stores data in linked tables rather than in a single sheet, and it is supplied with the professional editions of Office. A database file written by Access 2007 and later versions carries the extension .accdb, while the older format up to Access 2003 used .mdb. Its work is organised into objects. Tables hold the data in rows called records and columns called fields. Queries ask questions of the data. Forms give a friendly screen for entering and viewing one record at a time. Reports lay data out for printing. Macros and modules automate tasks, the modules being written in Visual Basic for Applications.

A field that identifies every record uniquely is the primary key; a field that points to the primary key of another table is the foreign key, and that link is what makes a relationship. Access supports one-to-one, one-to-many and many-to-many relationships, the one-to-many being the commonest. A table may hold up to 255 fields. Tables are seen in two main views: Datasheet View, which looks like a grid of rows and columns, and Design View, where field names, data types and properties are set. The data types asked most often are Short Text, Long Text, Number, Date and Time, Currency, AutoNumber, which generates a serial value by itself, Yes or No for a logical value, OLE Object for an embedded file and Hyperlink. Queries come as select queries, parameter queries, crosstab queries and action queries, the last group covering append, update, delete and make-table queries.

MS Outlook: email and a personal organiser

MS Outlook is an email client and, more than that, a personal information manager, since it combines Mail, Calendar, People or Contacts, Tasks and Notes in one window. Its local data is kept in a personal storage table with the extension .pst, while a cached copy of a server mailbox is stored in an offline file with the extension .ost, and a single saved message has the extension .msg. The standard folders are Inbox, Outbox, Sent Items, Drafts, Deleted Items and Junk Email: a message waiting to go out sits in the Outbox and moves to Sent Items once it has left.

Three address fields appear on every new message. To carries the main recipients, Cc, which stands for carbon copy, sends a visible copy to others, and Bcc, which stands for blind carbon copy, sends a copy whose address the other recipients cannot see. Outlook also holds rules, which file or forward messages automatically, signatures, which are appended to outgoing mail, and the out of office or automatic reply. On the protocol side, SMTP is the protocol that sends mail out, while POP3 and IMAP retrieve it; POP3 normally downloads and removes mail from the server, whereas IMAP keeps it on the server so that several devices see the same mailbox.

The other programs and the file extensions

Publisher is the desktop publishing program of the suite, used for brochures, cards and newsletters, and it writes files with the extension .pub. OneNote is a digital notebook for free-form notes, with the extension .one. Visio draws flowcharts, organisation charts and network diagrams and writes .vsdx. Project handles project schedules and draws the Gantt chart, writing files with the extension .mpp. Teams is the collaboration and meeting program, and OneDrive is the cloud storage that comes with a Microsoft account.

Points that travel across the whole suite

Microsoft Office was first released in 1990. The release of Office 2007 is the dividing line that papers like to ask about: it replaced the menu and toolbar with the Ribbon, organised into tabs and groups, and it introduced the Office Open XML formats, which is why the newer extensions carry an extra x or b, as in .docx, .xlsx, .pptx and .accdb. The Quick Access Toolbar sits above or below the Ribbon and holds commands such as Save and Undo. Office Online and Microsoft 365 are the browser-based and subscription forms of the same programs, with the files kept on OneDrive. Free alternatives worth knowing by name are LibreOffice Base and MySQL against Access, and Mozilla Thunderbird against Outlook, since comparison questions do appear.

Expect one straight question from this topic in computer awareness.
