Computer awareness sections of SSC, Railway and banking papers set one or two questions in every shift from two small but rewarding areas: the key combinations that run a computer without a mouse, and the three or four letters after the dot in a file name. Both are pure memory topics, so a candidate who revises the lists below is handing himself free marks. This note gives the shortcuts that Windows and MS Office use, the work each function key does, and the extensions grouped by the kind of file they belong to.

Why shortcuts and extensions matter

A keyboard shortcut is a combination of keys that runs a command directly. The modifier keys are Ctrl, Shift, Alt and the Windows key, and they are held down while a letter, a number or a function key is pressed. A file extension is the part of a file name after the last dot. It tells the operating system which program should open the file, which is why a file renamed from one extension to another does not become that kind of file. Windows hides the extensions of known file types by default, and the icon on the screen is chosen from the extension.

Windows shortcuts

  • Alt + F4 closes the active window or program, and closes Windows itself from the desktop.
  • Alt + Tab moves between open windows; Ctrl + W closes a document or a browser tab.
  • Ctrl + Alt + Delete opens the security screen, and Ctrl + Shift + Esc opens Task Manager directly.
  • Windows key + D shows the desktop, Windows key + E opens File Explorer and Windows key + L locks the computer.
  • Print Screen copies the screen, and Alt + Print Screen copies only the active window.
  • Ctrl + T opens a new browser tab and Ctrl + Shift + T reopens the tab closed last.

A few of these carry marks on their own. .bat is the extension of a batch file, a plain text file of commands that the system runs one after another. .exe is an executable program, which is why files with this extension arriving by mail are the classic route for a virus. .iso is the image of a whole disc, .dll a dynamic link library shared by programs, and .tmp a temporary file that a program makes while it works.

The Office shortcuts asked most often

In MS Word, Ctrl + K inserts a hyperlink, Ctrl + E centres a paragraph, Ctrl + L and Ctrl + R align it left and right, and Ctrl + J justifies it. In MS Excel, Ctrl + Home returns to cell A1 and F2 edits the cell the cursor is on. In MS PowerPoint, F5 starts the show from the first slide. The formatting choices of Word are also examined on their own: alignment may be left, right, centre or justified, and there is no alignment called top, which is a trap that has been set in more than one paper.

Exam Point of View

Papers ask this topic in three shapes. The first is a direct shortcut question, such as the key for a manual line break or for closing a window, where the safe method is to remember the pair Shift plus Enter for a line break and Ctrl plus Enter for a page break. The second is an extension question, either the extension of a named program or the odd one out among extensions of the same family, and .bat, .exe and .iso are the favourites. The third is a true or false or statement based question on MS Word and Windows features, in which one statement quietly gives a wrong shortcut, so each statement must be judged on its own before the option is picked.
