Cloud storage means keeping files on servers owned by a service provider and reaching them over the internet from any device, instead of keeping them only on the hard disk of one computer. Online collaboration tools sit on top of that storage and let several people read, edit and comment on the same document at the same time. Computer Awareness papers in banking, SSC and railway exams now treat this as a core chapter, and the questions are mostly about names, full forms, service models and the Indian government schemes built on the cloud.

What the cloud really is

Cloud computing is the delivery of computing services such as servers, storage, databases, networking and software over the internet on a pay-as-you-use basis. The provider owns large data centres, divides each physical machine into many virtual machines using software called a hypervisor, and rents those resources to thousands of customers at once, a design called multi-tenancy. The National Institute of Standards and Technology of the United States describes five essential characteristics of the cloud: on-demand self-service, broad network access, resource pooling, rapid elasticity and measured service. The quality a customer is promised, such as uptime, is written into a Service Level Agreement.

Service models and deployment models

ModelWhat the customer getsExamples
IaaS, Infrastructure as a ServiceVirtual machines, storage and networksAmazon EC2, Google Compute Engine, Microsoft Azure virtual machines
PaaS, Platform as a ServiceA ready platform to build and host applicationsGoogle App Engine, Microsoft Azure App Service, Heroku
SaaS, Software as a ServiceFinished software used through a browserGmail, Google Docs, Microsoft 365, Salesforce

By deployment, a cloud may be public, open to anyone who pays; private, built for a single organisation; hybrid, a mix of the two where sensitive data stays private; or community, shared by organisations with common needs such as a group of banks.

The main cloud storage services

ServiceCompanyNoted for
Google DriveGoogleLaunched in 2012; linked to Docs, Sheets and Slides
OneDriveMicrosoftStarted as SkyDrive and renamed OneDrive in 2014
DropboxDropbox IncFounded in 2007; popularised the sync folder
iCloudAppleLaunched in 2011 for Apple devices
Amazon S3Amazon Web ServicesSimple Storage Service, launched in 2006; object storage
DigiLockerGovernment of IndiaLaunched in 2015 for verified official documents

Online collaboration tools

Collaboration suites combine storage with editing and communication. Google Workspace brings together Drive, Docs, Sheets, Slides and Meet, while Microsoft 365 brings Word, Excel, PowerPoint, Teams, SharePoint and OneNote. Video conferencing is handled by tools such as Microsoft Teams, Zoom, Google Meet and Cisco Webex; team messaging by Slack; project boards by Trello, Asana and Jira; and software code by GitHub, which uses the version control system Git. Three features define real collaboration: simultaneous editing, where several people type in the same file; version history, which keeps every earlier draft so changes can be rolled back; and permission levels, usually viewer, commenter and editor, set through a shared link.

Cloud in Indian governance

The government runs its own cloud so that departments need not buy separate servers. MeghRaj is the GI Cloud initiative of the Government of India, under which the National Informatics Centre runs the National Cloud for central and state departments. DigiLocker, launched in 2015 as part of the Digital India programme of the Ministry of Electronics and Information Technology, gives every citizen a cloud account linked to Aadhaar in which issuers such as the CBSE, transport departments and universities place documents that are accepted on a par with originals. Related services include eSign for digital signatures and e-Office for paperless files.

Advantages, risks and vocabulary

The gains are clear: files are reachable from any device, teams work on one copy instead of mailing attachments, storage can be increased instantly, and data survives the loss of a laptop. The risks are equally examinable: nothing works without an internet connection, data stored abroad raises questions of privacy and data sovereignty, moving away from a provider is costly, a condition called vendor lock-in, and a weak password exposes everything at once. Providers answer with encryption in transit through HTTPS, encryption at rest on their disks, two-factor authentication and redundant copies in more than one data centre, while users are advised to follow the backup rule of keeping three copies of important data on two kinds of media with one copy off-site.

Exam Point of View

Papers test this chapter in four ways. First, identification: which of the four options is a cloud storage service, and which company owns it, where Google Drive, OneDrive, iCloud and Dropbox rotate as options. Second, full forms and models: SaaS, PaaS, IaaS, S3 as Simple Storage Service, and placing Gmail or Google Docs in the right model. Third, Indian schemes: MeghRaj as the GI Cloud initiative, DigiLocker and its ministry, and the year 2015 with Digital India. Fourth, vocabulary of safety and sharing: two-factor authentication, encryption, vendor lock-in, Service Level Agreement, synchronisation and version history. The usual trap is mixing up the service models, since a candidate who remembers only the examples will place a finished application such as Google Docs under PaaS instead of SaaS.

Frequently Asked Questions

What is the difference between cloud storage and cloud computing?

Cloud storage is only one service of the cloud, the keeping of files on a provider server that can be reached over the internet. Cloud computing is the wider idea and includes processing power, databases, networking, development platforms and finished software, of which storage is a part.

Is Google Docs an example of SaaS or PaaS?

Google Docs is Software as a Service. The user opens finished software in a browser and neither installs it nor manages the servers behind it. Platform as a Service, such as Google App Engine, is meant for developers who write their own application and let the provider run the platform under it.

What is DigiLocker and who runs it?

DigiLocker is a cloud based document wallet launched in 2015 under the Digital India programme of the Ministry of Electronics and Information Technology. A citizen signs up with a mobile number linked to Aadhaar, and issuing bodies such as school boards, universities and transport departments push verified certificates into it, which are accepted on a par with the original papers.

Which features make a tool a collaboration tool?

Three features. Several people can edit the same file at the same time and see one another changes; a version history stores earlier drafts so any change can be undone; and the owner can set permission levels such as viewer, commenter and editor while sharing a link. Chat and video calling are usually added on top.

What are the main risks of storing data on the cloud?

Dependence on an internet connection, loss of control over where data physically sits, privacy and data sovereignty concerns when servers are abroad, vendor lock-in when moving to another provider is costly, and account takeover if the password is weak. These are reduced by encryption, two-factor authentication and keeping an independent backup.
